A cooking line can be clean, staffed and well managed, then become the source of a serious fire in seconds. Hot oil, grease deposits and live gas or electrical supplies create a risk that ordinary extinguishers cannot reliably control. This insurer approved suppression systems guide sets out what operators need to check before specifying a system, and what insurers are likely to expect once it is in service.
What does insurer approved really mean?
“Insurer approved” is often used as a shortcut, but it is not a single universal certificate. Insurers set their own policy conditions according to the building, cooking risk, claims history and the value at risk. One insurer may require a recognised wet-chemical system over deep-fat fryers; another may also stipulate automatic fuel isolation, specific third-party certification or a particular maintenance regime.
The practical point is straightforward: a system must be suitable for the cooking appliances it protects, installed and maintained by a competent specialist, and supported by clear documentation. It must also meet any requirements stated in the policy, insurance survey or risk improvement report.
Do not assume that any kitchen suppression system will satisfy those conditions. A low-cost installation may leave gaps in coverage, omit essential shut-down interfaces or use equipment without the level of certification your insurer expects. The cost saving is rarely worthwhile if a claim is challenged after a fire.
Start with the insurer’s written requirements
Before choosing a system, ask your broker or insurer for the fire protection requirements in writing. This is particularly valuable when opening a new site, changing the cooking equipment, refurbishing a kitchen or taking over a lease.
The information should identify whether the insurer requires a particular system approval, third-party-certified installer, service frequency, fuel shut-off arrangement or inspection record. If there is an insurance survey report, treat its recommendations as part of the specification rather than an afterthought once installation is complete.
Requirements are not always identical between sites. A small café using one fryer and an electric griddle does not present the same exposure as a hotel kitchen with multiple fryers, chargrills, woks and long extraction runs. The building construction, overnight occupancy and proximity of other occupiers can also affect the insurer’s position.
A specialist survey should translate those conditions into a workable design. That means reviewing the full cooking line and canopy, not simply counting appliances from a floor plan.
How a suitable kitchen suppression system works
Commercial kitchen suppression systems are designed to detect a fire at the cooking hazard and discharge automatically when required. A typical system uses heat detection across the canopy plenum or cooking line. When the detection operates, the system releases a wet chemical agent through precisely positioned nozzles.
The agent is intended to suppress flames and form a protective layer over hot cooking oil, reducing the chance of re-ignition. At the same time, the system should activate relevant safety interfaces. Depending on the kitchen, this can include isolating gas, switching off electrical supplies to protected appliances and stopping fuel to the cooking equipment.
These interfaces are not optional extras in a properly considered design. If heat remains under a fryer after agent discharge, the fire can re-establish. Equally, shutting down the wrong equipment without understanding the site can create operational issues. The interface design needs to be planned, tested and documented with the kitchen equipment, mechanical and electrical arrangements in mind.
The suppression system is one layer of protection, not a replacement for extraction cleaning, staff training, suitable portable extinguishers or good housekeeping. Insurers commonly assess the whole risk picture. Heavy grease accumulation in ductwork, for example, can undermine an otherwise well-specified fire protection arrangement.
The details that make an installation insurable
A system is only as effective as its coverage and installation quality. Each nozzle must be selected, aimed and located for the appliance or hazard it protects. Fryers, ranges, griddles, chargrills, woks and solid-fuel equipment can require different suppression arrangements. Moving appliances, replacing a range or fitting a larger fryer can invalidate the original nozzle layout.
The canopy and duct configuration also matter. Fire can spread beyond the visible cooking surface into grease-laden extraction areas. The design therefore needs to account for the plenum and, where required, duct protection, as well as the appliances below the canopy.
A credible proposal should clearly state what is included: protected appliances, detector arrangement, agent cylinders, nozzle locations, manual pull station, alarm connections and fuel or power isolation. It should identify any work by others, such as electrical alterations or builder’s works. Ambiguity at quotation stage is a common route to delays, additional costs and incomplete protection.
Certification and competence
Where an insurer calls for a certified solution, check both the system and the company carrying out the work. Product approvals, third-party certification schemes and manufacturer training can all be relevant, but they are not interchangeable. The right combination depends on the insurer’s written condition and the system being proposed.
Ask for evidence rather than relying on broad claims. The installer should be able to explain their competency for the selected equipment, provide the applicable certificates, and issue commissioning documentation when work is complete. They should also have experience integrating kitchen suppression with gas interlock, fire alarm and building management systems where needed.

Installation should fit around service, not stop it
For many operators, the concern is not whether suppression is necessary but how installation will affect trading. A competent contractor should plan the work around opening hours where possible, coordinate access with the kitchen team and make clear when appliances must be taken out of service.
Before work starts, confirm the final appliance list, canopy dimensions, utility isolation points and access restrictions. If the kitchen is being refurbished, suppression should be designed alongside the canopy, cooking equipment and gas or electrical works. Retrofitting it at the end can involve avoidable alterations and missed interface opportunities.
Commissioning is the point at which the installation becomes a functioning safety system. The contractor should test detection, release circuits, manual operation and relevant shut-down interfaces without unnecessarily discharging the agent. Staff should be shown what the system does, where the manual pull station is located, what to do after activation and who to contact for reinstatement.
Maintenance protects the policy position
An installed system cannot simply be left until an incident occurs. Insurers and manufacturers expect planned inspections and maintenance at the required intervals, carried out by a competent provider. The exact frequency and scope should follow the insurer’s conditions, the manufacturer’s instructions and the system’s certification requirements.
At each service, the engineer should inspect cylinder condition and pressure, detection components, pipework, nozzles, protective caps, control equipment, manual activation and connected shut-down functions. Records should show the date, engineer, findings, remedial actions and next service due date.
Site teams also have a role between visits. Nozzles must not be painted over, knocked out of alignment or obscured by new equipment. Appliances should not be moved under the canopy without checking the suppression coverage. If a system has activated, the kitchen must not resume normal use until the cause has been investigated, the system has been professionally reinstated and all required interfaces have been tested.
Keep the documents together
Following an installation or service, retain the design information, commissioning certificate, service reports, system instructions and evidence of any remedial works. Keep these records accessible to facilities teams, not buried in a former manager’s email account.
They are useful during insurer surveys, landlord inspections and audits, but their main value is operational. Clear records allow a new manager, maintenance provider or insurer to see exactly what is protected and whether the system has been kept in the required condition.
Common mistakes to avoid
The most serious errors tend to happen after the initial installation. Operators add an appliance under the canopy and assume it is covered. Contractors alter the gas supply without retesting the suppression interface. Grease cleaning is deferred. Service visits are missed because the kitchen is busy. Each decision can weaken protection and create a problem at renewal or following a loss.
Avoid treating compliance as a one-off purchase. Kitchen fire risk changes with menus, equipment, staffing and refurbishment. Review the system whenever the cooking line changes, and raise uncertainties with your insurer or specialist contractor before making alterations.
