A fire risk assessment often looks straightforward until you stand in a live commercial kitchen at 6pm. Fryers are running flat out, extraction is working hard, staff are moving quickly, and one small failure can turn into a serious fire within seconds. That is exactly why understanding how to prepare fire risk assessment properly matters – not as a paperwork exercise, but as a practical way to protect people, property, service continuity and insurance standing.
For commercial kitchens, the assessment needs to reflect the real fire load of the environment. Heat, grease, open flame, electrical equipment and human activity all sit close together. A generic office-style approach is not enough. The process has to be specific, evidence-based and honest about what could go wrong.
What a fire risk assessment is really for
At its core, a fire risk assessment identifies fire hazards, considers who may be at risk, evaluates existing precautions and sets out what needs to improve. In a kitchen environment, that means looking beyond obvious ignition sources and focusing on how fire could spread, how quickly staff could respond, and whether the protection in place is suitable for the cooking risk.
This is where many assessments fall short. They list a few hazards, note that extinguishers are present, and move on. In reality, a compliant assessment should test whether the controls match the risk. A wet chemical extinguisher may be appropriate for first response, but it is not a substitute for a correctly designed suppression system over high-risk cooking appliances. If the kitchen relies heavily on deep fat frying, chargrilling or other grease-producing processes, that difference matters.
How to prepare fire risk assessment in a commercial kitchen
The best starting point is to assess the kitchen as it actually operates, not as it appears when empty and clean. Visit during service if possible. Speak to the people using the equipment. Check what is cooked, when, and on which appliances. A kitchen that occasionally reheats food presents a very different level of fire risk from one running multiple fryers and solid-top cooking lines throughout the day.
You should begin by identifying the main sources of ignition, fuel and oxygen. In kitchens, ignition sources usually include cooking equipment, naked flames, electrical faults, hot surfaces and occasionally maintenance activity. Fuel sources include cooking oils, grease deposits, packaging, waste, cleaning materials and parts of the extract system where grease has accumulated. Oxygen is obviously present in the room, but extraction and air movement can affect how a fire develops.
Once you have identified the hazards, consider who is at risk. That includes kitchen staff, front-of-house teams, contractors, delivery personnel, customers and in some premises residents or overnight occupants above the unit. A restaurant on a ground floor with flats above creates a different risk profile from a detached catering unit on an industrial estate. The right assessment takes that wider occupancy into account.
Look closely at cooking equipment and extraction
Most serious kitchen fires start in or around the cooking line. That makes the equipment layout one of the most important parts of the assessment. Note the type of appliances in use, their age, condition, servicing history and how close they are to combustible materials. A fryer beneath a grease-laden canopy is a very different proposition from a well-maintained electric hob in a low-output kitchen.
The extract canopy, ductwork and filters also deserve detailed attention. Grease build-up is both predictable and dangerous. If cleaning standards are poor, fire can spread rapidly beyond the cooking appliance and into the extract system. That changes the incident from a contained equipment fire to a much more serious building risk.
Where there is high-risk cooking, ask a direct question: is there an automatic kitchen fire suppression system installed, and is it suitable for the appliances below the canopy? This is not a minor detail. In many commercial kitchens, suppression is the critical control that limits fire development when staff cannot safely tackle it themselves. The system should be designed for the actual appliances present, correctly interfaced to isolate fuel or power supplies, and maintained in line with the manufacturer and relevant standards.
Evaluate what controls are already in place
A strong assessment does not just identify hazards. It tests the quality of the controls already there. That includes housekeeping, staff training, equipment servicing, extraction cleaning, emergency lighting, alarm arrangements, fire signage, escape routes and fire doors.
In kitchens, training deserves more than a brief note. Staff should know what to do if a pan ignites, when not to use water, how to raise the alarm, how to shut down appliances if safe to do so, and when to evacuate rather than attempt first aid firefighting. If there is a suppression system, staff should understand what it protects and what happens when it activates. They do not need to be engineers, but they do need to know how the system affects kitchen operations in an emergency.
It is also worth checking whether the fire strategy makes operational sense. A control measure is only useful if people can follow it under pressure. For example, if manual isolation points are difficult to reach during a fire, or extinguisher access is blocked by stock during service, the paper control is better than the real one.
Record findings clearly and prioritise actions

The record should describe the hazards, the people at risk, the controls in place, the shortcomings identified and the actions required. Vague phrases such as “monitor housekeeping” are weak. Specific actions such as “arrange professional extract clean and obtain certificate” or “install automatic suppression to cover fryers and griddle line” are far more useful.
Prioritisation is essential. Not every issue carries the same urgency. A missing sign and an unprotected fryer line should not sit on the same level. Separate immediate actions from medium-term improvements and administrative follow-up. That helps decision-makers manage budget, contractor scheduling and operational disruption sensibly.
For many sites, this is where specialist input becomes necessary. A general assessor may recognise that high-risk cooking needs suppression, but a specialist provider is better placed to confirm the right system design, nozzle coverage, agent type, interface requirements and maintenance regime. That level of detail can make the difference between a compliant solution and one that leaves gaps in protection.
Common mistakes when preparing a kitchen fire risk assessment
The most common mistake is treating the kitchen like any other room in the building. Commercial cooking creates a concentrated fire risk that needs its own analysis. Another is relying too heavily on portable extinguishers while overlooking whether the cooking appliances themselves have automatic protection.
A third problem is assessing the site only when conditions are ideal. A clean, quiet kitchen before opening does not show how staff move during service, where combustibles gather, or whether escape routes stay clear when the operation is under pressure. It is also common to underestimate the importance of maintenance records. If a suppression system, extraction system or electrical installation has not been serviced properly, that is part of the fire risk picture.
There is also a tendency to copy old assessments forward with minor edits. That can create serious blind spots. Menus change, appliances are replaced, layouts are altered and trading hours expand. A risk assessment that was accurate two years ago may now be out of date in ways that matter.
When to review and update the assessment
A fire risk assessment is not a one-off task. It should be reviewed regularly and updated whenever there is reason to believe it no longer reflects the premises. In kitchen settings, that usually means after a refurbishment, equipment change, menu shift, increase in output, near miss, fire incident or significant staffing change.
Review also matters when insurers raise new requirements or when maintenance findings show recurring faults. If, for example, extraction cleaning frequencies are proving inadequate for the volume of grease produced, the assessment should reflect that. The same applies if a new cooking appliance has been added beneath a canopy without corresponding changes to suppression coverage.
For businesses operating across multiple sites, consistency is important, but so is site-specific judgement. Standard formats help with governance, yet each kitchen should still be assessed on its own layout, equipment and operating pattern.
A practical standard for decision-makers
For owners, operators and facilities managers, the real test is simple. Could you defend the assessment if there were a fire tomorrow? Could you show that the main kitchen hazards were identified, that suitable controls were in place, and that any gaps were being acted on without delay?
That is the standard worth working to. A well-prepared fire risk assessment should give you a clear view of where the exposure sits, what needs attention and whether your current fire protection matches the actual cooking risk. In high-risk kitchens, that often leads back to one central issue: making sure the suppression system is correctly specified, properly installed and maintained for the long term.
If the assessment prompts difficult decisions, that is usually a good sign. Fire safety in a commercial kitchen is not about creating perfect paperwork. It is about making practical choices that still hold up when the kitchen is busy, the risk is real and there is no time for guesswork.
