How to Pass Insurer Kitchen Requirements in the UK

A kitchen fire can turn a busy service into a major property loss in minutes, particularly where fat, oil and high-output cooking appliances are involved. Knowing how to pass insurer kitchen requirements starts with recognising that an insurer is looking beyond a fire extinguisher on the wall. They want evidence that the cooking risk has been assessed, controlled and maintained in a way that limits damage, protects people and helps the business reopen quickly after an incident.

Requirements vary between insurers, policies and kitchen types. A small café with a single fryer will not present the same risk as a hotel, production kitchen or high-volume restaurant. However, the same principle applies in every case: your controls must match the actual cooking hazard, and you must be able to prove they are in place.

Start with the insurer’s written requirements

Do not rely on a verbal description of what the insurer or broker expects. Ask for the relevant risk improvement requirements, survey recommendations or policy conditions in writing before arranging work. This prevents a common and costly mistake: installing a system that appears suitable but does not meet the specification required for the premises.

The wording may refer to an approved automatic fire suppression system, protection for specific appliances, fuel shut-off, ductwork cleaning, maintenance intervals or third-party certification. It may also set a deadline for completion and ask for certificates, photographs or service records as evidence.

Read the conditions carefully. Some are recommendations, while others are conditions of cover. A missed condition could create serious difficulty when making a claim. If any point is unclear, have your broker clarify it with the insurer rather than making assumptions.

Assess the kitchen as it operates, not as it looks

Insurers assess the fire risk created by live cooking operations. A kitchen may look clean and well managed while still carrying a substantial hidden risk from grease-laden extract ducts, unprotected appliances or unsuitable firefighting arrangements.

A proper assessment should consider the cooking appliances under the canopy, their fuel source, the type of cooking oil or fat used, the extract arrangement, the location of gas and electrical isolation points, and the hours the kitchen operates. It should also account for changes that happen after the original fit-out. Adding a chargrill, wok range, fryer or salamander can alter the risk significantly.

Your fire risk assessment remains a central legal document, but it is not a substitute for the insurer’s own requirements. The two should work together. Install a system designed for the exact hazard

For commercial cooking risks, insurers commonly expect an automatic wet chemical kitchen fire suppression system where high-risk appliances sit beneath an extract canopy. These systems are designed to detect fire within the protected area and discharge agent directly at the cooking hazard. The agent suppresses the fire and helps prevent reignition by cooling the surface and forming a seal over burning cooking oil.

The key word is designed. A system cannot be selected properly from the size of the canopy alone. Nozzle positions, detection coverage and agent quantity must reflect the individual appliances beneath it. Fryers, griddles, ranges, woks and chargrills can require different protection arrangements.

The system should also interface with the relevant services. In most installations, this means shutting off the fuel or electrical supply to the protected cooking equipment when the system operates. Choose equipment with credible approval and certification

Your insurer may name an approved manufacturer, require a particular certification route or ask for evidence that the installed system is suitable for commercial kitchen applications. Confirm these requirements before placing an order. Keep the evidence an insurer will ask to see

Passing insurer kitchen requirements is as much about records as equipment. If a loss occurs, the question will not only be whether a system was present. It may be whether it was installed correctly, serviced on time, left unobstructed and supported by the required fire safety controls.

Maintain a clear file, whether digital or paper, containing the system design details, installation certificate, commissioning records, maintenance reports, fault records, extract cleaning certificates, fire risk assessment and staff training records. Keep correspondence from the insurer or broker with the same file so that future managers can see exactly what was requested and when it was completed.

Photographs can also be useful, particularly after installation, refurbishment or equipment changes. They provide a dated record of protected appliances, nozzle locations, manual activation points and shutdown controls. If the kitchen layout changes, review the system before the new equipment enters service. Moving a fryer even a short distance can affect nozzle coverage and invalidate the original design assumptions.

Service the system and act on defects promptly

A suppression system is only dependable if it is maintained in accordance with the manufacturer’s requirements and any insurer conditions. It should also confirm that no cooking equipment has been added, removed or repositioned since the previous visit.

Addressing these early is far less disruptive than dealing with a failed inspection or a fire loss.

Prepare for surveys, renewals and kitchen changes

An insurer’s surveyor will usually want straightforward answers. What appliances are used? What protection is installed? When was it last serviced? Is the extract system cleaned to a planned schedule? Can you show the relevant records?

Make the process easy. Keep documents current, ensure staff know where they are held and make sure access to the canopy, control panel and isolation points is not blocked during service. If an insurer raises a recommendation, respond by its deadline and provide completion evidence. Silence or partial action can be interpreted as an unmanaged risk.

Refurbishments, new menus and changes in trading hours should trigger a review. A kitchen moving from occasional frying to continuous frying, or adding solid-fuel cooking, may need a different protection approach.
